General Terms and Conditions
ROMO Turismo Receptivo Incoming Services S.L. (“Romotur” or “we” in the following document) is destination management company (DMC) registered in Spain under the number CIE 2217.
The following General Terms and Conditions lay out the general guidelines that you are agreeing to when booking guided tour and travel experience packages with our DMC. When you book any of our services, you are acknowledging that you have read and accepted them.
Specific tours or trips may have additional terms and conditions.
The terms and conditions for event services will be set out in the service contract agreed upon by the client and Romotur.
RESERVATIONS, PAYMENT and CANCELLATIONS
Reservations: A deposit of 25% per person is required to confirm the reservation. Full payment required 30 days before departure.
Cost: Price of land arrangements are based on the Euro. Quotes are valid for 30 days. Your booking is not confirmed until we have received your deposit. Once this has occurred the price will not change except for reasons of “Price Force Majeure” (e.g. a result of a change by relevant authorities in the country which we have no control over) or if you request additional services to be added to the original itinerary/service contract after having paid the deposit.
We will not accord any discounts for unused services that are part of the established itinerary or service contract but that you do not wish to take part.
Payment Methods: You may use your credit card to make your deposit by telephone, mail or securely online. We accept Visa, MasterCard, and American Express. We prefer final payments in the form of Bank Transfer to Romotur.
Requested Changes: We reserve the right to charge an administrative fee in addition to any further costs incurred for changes you request after a booking is confirmed. Such requests must be communicated to our office in written form by the person who made the booking.
Cancellations: Cancellations must be communicated to our office in written form by the person who made the booking. The following cancellation charges will apply:
- After confirmation: 15% penalty
- 60 days before first service: 30% penalty
- 30-59 days before first service: 50% penalty
- 29 days before first service: 100% penalty
Guided Tours and Travel Experiences
Unless otherwise stated in the product description, our guided tours and experience packages include:Full-time multi-lingual guides, baggage handling, most admissions. Transportation in modern, roomy motor coaches or vans depending on group size.
Our services do NOT include: International air and connecting flights, single room supplements, customs fees, some meals, telephone charges, hard liquor, mini-bar charges, laundry, excess baggage charges, and medical expenses.
Guided Tour and Travel Experience Group Sizes: Romotur travels with as few as four and as many as 21 people. Larger groups may be divided.
In an honest endeavor to insure a pleasant and compatible tour, Romotur reserves the right to refuse the application of anyone or expel any tour member whose conduct is, in our judgement, incompatible with the interests of the group. No refund will be made for the unused portion of any tour.
Hotels: Romotur does not generally use big chain hotels. We work with deluxe lodgings that reflect the culture and that are centrally located to give you opportunities to walk and explore during your free time. All rooms have private baths.
- Single Supplements: Travelers who pay single supplements for private rooms should understand that the additional cost does not imply that private rooms are of higher quality than doubles, only that they are private.
- Shared Rooms: We will attempt to match you with a compatible roommate if you desire, but if it doesn’t work out for any reason (even if at the last moment or while on tour), each of you must pay the pro-rated single supplement.
Land Transportation: Modern, roomy motor coaches or vans depending on group size. Smoking is not permitted in these vehicles.
Changes: If services or accommodations cannot be supplied due to delays or other causes beyond our control, we will substitute comparable services and accommodations. We reserve the right, at our discretion, to change any part of the itinerary without notice. Uncompleted portions of the itinerary are not cause for refund.
Activity Level: Good physical and mental health are necessary for the enjoyment of our tours and travel experiences. Most days we will probably spend a couple hours total on our feet. Our walks are mostly over level ground, but often include some uneven or cobblestone terrain. The pace is leisurely, and includes time for the guides to describe what you are seeing, but you really do need to be able to walk unassisted by others.
We ask that you be honest in assessing your abilities so as not to inconvenience other members on the tour. By forwarding your deposit to Romotur, you certify that you do not have any mental, physical, or other condition of disability that would constitute a danger for yourself or other passengers. More active participants will have plenty of opportunities for higher levels of activity. Please call our office if you have any questions.
Travel Documents: Specific passport and/or visa requirements are your responsibility, and we advise you to check these with the relevant embassies or consulates. We will not be responsible for travel issues due to the non-compliance of these requirements.
Data protection: We will take care to make sure your personal information is treated appropriately and that your privacy is respected. On booking our services, you agree to allow us to pass on your information to our suppliers involved in your tour/trip/event as well as to public authorities if necessary. We reserve the right to use images from any of our trips without charge in promotional print and digital materials (brochures, website, slides, videos, social media sites, etc.)
Assistance and Emergency Number: Romotur will provide a 24h emergency contact number for issues that may arise during the trip/visit.
Liability: Romotur acts only as agents for all carriers and services. We are not responsible for loss of or damage to property or baggage or injury to persons during the tour/trip/event. We cannot accept any responsibility for losses, additional expenses or cancellations due to delays or changes in air or other services, sickness, pandemics, weather, natural disasters, strikes, war, or other events beyond our control.
Commissions to Travel Agents: Fully accredited travel agents receive a commission for enrolling tour members only when those enrolled are not already on our private mailing list.
Disputes: Any disputes relevant to these terms and conditions shall be decided in the Spanish courts.
